Job Description

Overview

We are looking to fill a Full Time Project Coordinator position in Bloomington, Indiana. This position has an 80% onsite and 20% hybrid model, candidates will generally work Monday - Friday from 8:00am -5:00pm, however this position does require a 7:00am start time one day a week to be present during residency didactics.

The Project Coordinator provides day to day administrative support of educational and department activities, including coordination between attending physicians, residents, medical students, regulatory offices, and other individuals and groups. They coordinate and organize clinical education programs. They will plan and develop activities that ensure relevant program accreditations are maintained. They require travel between designated facilities. They assume responsibility for implementing process improvements. They act as a liaison between program leadership, residents, medical students and attending physicians. They will perform other duties as may be assigned by Indiana University School of Medicine, Department of Emergency Medicine. Candidates with a Training Administrators of Graduate Medical Education (TAGME) Certification are encouraged to apply. This certification will be required to receive once hired if not already acquired.

Fundamental Responsibilities – include but are not limited to the following:

  • Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations and arranging meetings and conferences.
  • Schedule rotations and clinic hours for members and arrange extracurricular activities.
  • Counsel current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
  • Coordinates activities related to recruitment including events, screening, interviewing, reference checks and orientation for candidates.
  • Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
  • Implements program improvement projects from initiation to execution.
  • Offers recommendations to improve program administration and/or the overall quality of the program.
  • Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained.
  • Participate in development and educational activities related to the position including attending the annual Council of Residency Directors in Emergency Medicine Academic Assembly and pursuing certification through the National Board for Certification-Training Administrators of Graduate Medical Education.

Requirements:

  • Bachelor's degree in related field or equivalent years of experience required.
  • 3 or more years of experience in administration, office management or program coordination is required. Experience in a clinical or academic setting is preferred. Combinations of related education and experience may be considered.
  • Experience with matrix organization and complex work environment a plus.
  • Experience exhibiting professional judgment and diplomacy in handling unexpected problems and frequent interruptions is required.
  • Requires basic proficiency in Microsoft Office (Word, PowerPoint, Excel).
