Customer Service Representative I

Provides a supportive link between the Department of Pathology and Laboratory Medicine (DPLM) customers and all other areas within DPLM. Projects a professional image through telephone communication to internal and external DPLM customers. Expected to handle approximately 95-105 calls per shift with ability to service callers with minimal transfers. Appropriately uses care language. Provides results both verbally and by written charts to DPLM customers. Documents telephone calls using the laboratory information system. Provides appropriate follow-up to clients. Meets call expectations set forth by management. Makes overhead announcements, as necessary. Receives, initiates, triages and forwards calls to the correct individual/department of DPLM. These calls include but are not limited to: a) Reporting test results accurately to appropriate persons, b) Adding and canceling test requests, c) Providing specimen requirements, d) Researching test availability, e) Ordering supplies to be delivered to clients, f) Dispatching couriers for pickup and delivery, h) Monitoring service entrance to building, i) Serving as part of the command central team during system downtimes. Follows procedures and standard work and ensures timely review of updated documents. Appropriately details calls in tracking system. Independently reviews SOP and SW on time. Monitors all system consoles and ensures patient information is protected. Identifies opportunities for improvement based on process observation, outcome measures, and feedback from patients and other customers. Works to eliminate processing errors within the department. Provides 3rd party feedback, as requested. Reports errors in a timely, appropriate manner to management. Performs other duties as assigned by the Lab Customer Care Manager.

Qualifications / Knowledge / Skills / Abilities

  • High School Diploma/GED. No experience required.
  • Knowledge of medical terminology and medical coding preferred.
  • Ability to type 30+ words per minute.
  • Requires working knowledge of computers.
